Let's set up your business
This is the name your crew and payroll exports will use. You can change it later.
A few quick steps and your crew can start clocking in today:
You can set up payroll now or later — nothing here is permanent, and you can change it all from the dashboard.
Per business, per month, plus GST. Every plan includes timesheets, hour approvals and the Smartly payroll export. Pro adds GPS job-site check-in. Business is trade pricing for bigger crews — get in touch.
Payments are handled securely by Stripe — you'll be taken to Stripe's checkout page in a new tab. After paying, come back here; your plan updates automatically.
Send this to anyone who needs to clock in. They open it once on their phone and it remembers your business. A plain link without the code on the end will not work.

Sites here appear in your crew's “Job / Site” dropdown in the app. Deactivate a finished site to hide it from the crew (you can switch it back on anytime). Delete removes it from the list for good — past timesheets keep their site name either way.
Blank lines and sites you already have are skipped.

Categories are work types your crew can tag on their timesheets, doubling as cost codes you total up for billing. Part of the Business plan.

Default range is the last 7 days (one weekly pay run). The Clock in and Clock out columns show where each person started and finished (tap map to open it). Download payroll CSV exports only approved rows; Download timesheets + location exports every row in the range, including addresses, coordinates and map links, for a spreadsheet. Tap 📍 Location on any row for the full clock-in/out and break detail.

This builds the Smartly #50 direct-import file. On any other payroll system, use Download hours (CSV) on the Timesheets tab instead — it opens in Excel and imports into Xero, MYOB, PayHero and the rest. This builds the Smartly file for the pay period, using each staff member's payroll ID and pay rate (set these on the Staff tab). Only approved hours are included. Always click Check before export first — it flags anyone whose approved hours would be left out (no payroll ID, unmatched name, duplicate day, or a shift still in progress).
Default range is the last 7 days (one weekly pay run). Total is every timesheet in the range; Approved and Pending split those hours by whether you've signed them off yet. The CSV saves the table exactly as shown, including the grand-total row.

You can still use an emailed sign-in link any time, so you can't get locked out.
The hourly rate is used to show you what a day or a job cost in labour. Your payroll system still works out the actual pay. Leave it blank if you would rather not record it.
Only change this if the person has more than one rate set up in Smartly. It tells the Smartly file which of their rates to use. Nearly everyone stays on Rate 1.
Manually add a shift (e.g. someone forgot to clock in). It's tagged “Added by owner” and lands as pending for you to approve.
